Email Policy

Email has become an important tool for communication, and the college encourages its use by students, faculty, staff and alumni within the boundaries of the following guidelines:

  • Email is not a private means of communication.
    By law, email is owned by the college, not by the individual. Capitol College will make every effort to ensure the reasonable privacy of individuals email; however, it is possible that college personnel, in the function of their positions, may access individual accounts, messages or both. Be aware that your account may be subpoenaed for legal issues.
  • Identify yourself clearly and accurately in all email communication.
    Using a pseudonym or writing an anonymous message that appears to disassociate you from the responsibility of your actions is almost always inappropriate. Concealing your name or affiliation to mask irresponsibility or offensive behavior is a serious abuse. Using identifiers of other individuals or organizations is fraud.
  • Chain letters and mass mailings waste college resources.
    Do not distribute chain letters. If you receive one, delete it. Do not send it on. Large bulk mailings overload the server. Only college-authorized individuals may make these mailings and only for purposes supporting the college mission.
  • Security of accounts is primarily your responsibility.
    Student, staff, and faculty are provided their own email accounts. Do not give your password to anyone. Do not allow anyone to use your email account at anytime. This protects you from accidental or intentional illegal or unethical acts by any person using your account.
  • Capitol College supplies lifetime email accounts to its students.
    It's important that resources are not used for commercial or personal profit because the college is a nonprofit instition. These accounts should be used for personal, educational or college purposes only.
  • Offensive, harassing, defamatory or otherwise inappropriate messages on the college email system are prohibited.
    Use of the college's email system is subject to all legal and college prohibitions regarding discrimination or harassment based on race, color, religion, sex, disability, age, ethnic background or other prohibited basis. The college also does not condone the use of email systems to transmit or display lewd or suggestive material.
